## About the Role
We are seeking a professional, organized, and patient-focused **Registration Representative** to support patient registration and front-office clinical services in a healthcare environment. This role is often one of the first points of contact for patients and plays an important part in creating a welcoming, efficient, and accurate patient experience.
The Registration Representative will be responsible for patient check-in, insurance verification, payment collection, appointment support, referral and pre-authorization processing, and accurate entry of patient information into computer systems. This position requires strong customer service skills, attention to detail, confidentiality, and the ability to work effectively in a busy patient-facing setting.
The ideal candidate is dependable, friendly, accurate, and comfortable working with patients, families, clinical staff, insurance information, and healthcare systems. ## Key Responsibilities
* Greet patients, families, and visitors in a professional, respectful, and welcoming manner.
* Support patient check-in and registration for appointments, procedures, or clinical services.
* Verify patient identity, demographic information, contact details, insurance coverage, and required documentation.
* Enter, update, and maintain accurate patient information in electronic medical record, registration, scheduling, or billing systems.
* Review insurance information and confirm eligibility, benefits, copayments, deductibles, and coverage requirements when applicable.
* Collect copays, balances, deposits, or other patient payments according to office procedures.
* Provide receipts, explain payment expectations, and direct billing questions to the appropriate team when needed.
* Assist with appointment scheduling, rescheduling, cancellations, and patient flow coordination.
* Process referrals, pre-authorizations, prior authorizations, and related documentation as required.
* Communicate with insurance companies, referring providers, clinical teams, and patients to resolve registration or authorization issues.
* Ensure required forms, consents, notices, and patient documents are completed accurately and filed appropriately.
* Answer phones, respond to patient questions, transfer calls, and route messages to appropriate staff members.
* Support front-office operations, including scanning, faxing, filing, document collection, patient reminders, and general administrative tasks.
* Protect patient privacy and maintain confidentiality in accordance with HIPAA and organizational policies.
* Identify missing information, registration errors, insurance issues, or documentation gaps and take steps to correct them.
* Work closely with clinical staff, billing teams, providers, and other front-office personnel to support efficient patient care.
* Maintain a clean, organized, and professional front-desk or registration area.
* Follow company policies, healthcare procedures, safety expectations, and service standards.
## Required Qualifications
* High school diploma or equivalent.
* Experience in customer service, administrative support, front desk operations, healthcare registration, medical office support, or a related role.
* Strong communication and interpersonal skills.
* Ability to provide professional and compassionate service to patients and families.
* Strong attention to detail and accuracy when entering patient, insurance, and payment information.
* Basic computer skills and comfort using scheduling systems, electronic medical records, registration software, or similar applications.
