# Logistics Coordinator

## About the Role

We are seeking an organized, proactive, and customer-focused **Logistics Coordinator** to support timely and efficient vehicle delivery, service coordination, and logistics-related communication. This role is responsible for helping ensure that vehicle deliveries and secondary services are completed accurately, on schedule, and with clear communication among customers, service providers, insurance adjusters, and internal teams.

The Logistics Coordinator will manage service activity across the full lifecycle, from initial coordination through service completion and delivery follow-up. This position requires strong problem-solving skills, comfort handling calls and chats, the ability to adapt quickly to changing situations, and the judgment to escalate issues when needed.

The ideal candidate is detail-oriented, calm under pressure, and able to manage multiple moving parts at once. They should be comfortable working with customers, vendors, insurance contacts, and internal support teams while maintaining professionalism, accuracy, and a strong sense of urgency.

## Key Responsibilities

* Coordinate vehicle deliveries to ensure timely, efficient, and accurate completion.
* Manage logistics tasks related to secondary services, vehicle movement, service completion, and customer communication.
* Oversee the service lifecycle from initial request through completion, delivery, and issue resolution.
* Monitor service progress and follow up with service providers, customers, insurance adjusters, and internal teams as needed.
* Handle inbound calls, chats, and related communication from customers, vendors, service providers, adjusters, and team members.
* Provide clear, accurate, and professional updates regarding vehicle delivery status, service timing, delays, and next steps.
* Identify potential issues that may affect service completion, delivery timing, customer satisfaction, or operational efficiency.
* Proactively escalate delays, service failures, documentation issues, customer concerns, or urgent situations to the appropriate team members.
* Provide level 2 support for more complex logistics, service, or customer-related issues.
* Adapt quickly to schedule changes, service provider updates, customer availability, insurance requirements, and operational needs.
* Track and document all service activity, communication, status changes, updates, and resolution steps in the appropriate systems.
* Coordinate with service providers to confirm appointment details, service completion, delivery readiness, and required documentation.
* Communicate with insurance adjusters to clarify service needs, approvals, claim-related questions, or delivery requirements.
* Support customers by answering questions, resolving concerns, and keeping them informed throughout the process.
* Help ensure service providers complete assigned work according to expected standards, timelines, and process requirements.
* Review open tasks, pending items, escalations, and service exceptions to keep work moving forward.
* Work with internal teams to improve service coordination, reduce delays, and strengthen logistics processes.
* Maintain a high level of accuracy, urgency, and professionalism in all communications and documentation.

## Required Qualifications

* Experience in logistics coordination, customer service, dispatch, operations support, claims support, transportation coordination, automotive service, or a related role.
* Strong communication skills, including the ability to handle phone calls, chats, emails, and status updates professionally.
* Ability to coordinate multiple tasks, requests, schedules, and stakeholders at the same time.
* Strong problem-solving skills and ability to identify issues before they become larger problems.
* Ability to adapt quickly when schedules, priorities, or service details change.
* Strong attention to detail and accuracy when documenting service activity and customer communication.
* Comfortable using computer systems, CRM tools, dispatch platforms, service tracking systems, or similar applications.
* Ability to remain calm, professional, and solution-focused during escalations or time-sensitive situations.
* Strong follow-through and ability to keep services moving toward completion.
* Ability to work independently while collaborating with customers, vendors, adjusters, and internal teams.

## Preferred Qualifications

* Experience in automotive logistics, vehicle delivery, towing, claims coordination, rental car coordination, collision repair, insurance claims, roadside assistance, fleet operations, or transportation services.
* Experience working with insurance adjusters, repair facilities, service providers, or vehicle logistics vendors.
* Experience providing level 2 customer support or escalation support.
* Familiarity with service lifecycle management, dispatch workflows, appointment scheduling, and vendor follow-up.
* Experience handling high-volume inbound calls, chats, or customer service queues.
* Bilingual communication skills are a plus, depending on customer and market needs.
* Experience in a fast-paced operations, call center, or service coordination environment.

## Ideal Candidate Profile

The ideal candidate is a dependable logistics professional who can keep services moving, communicate clearly, and resolve problems before they disrupt the customer experience. This person understands that vehicle delivery and service coordination require accuracy, urgency, and strong follow-up.

They should be comfortable working with customers who need timely updates, service providers who may need direction or follow-up, and insurance adjusters who may need accurate documentation or status information. The right candidate will be able to balance customer service with operational execution, ensuring that each service is tracked, completed, and communicated properly.

This person should be proactive, organized, and comfortable handling unexpected changes. They should take ownership of open items, escalate issues appropriately, and help create a smooth, reliable service experience from start to finish.

## Work Environment

This role may be performed in an operations center, customer support environment, logistics office, automotive service setting, or remote/hybrid environment depending on company needs.
