Position Summary
The Administrative Support Specialist provides comprehensive administrative and operational support to ensure the efficient day-to-day functioning of the organization. This role involves managing schedules, coordinating communications, maintaining records, preparing reports, supporting projects, and delivering excellent internal and external customer service. The ideal candidate is highly organized, detail-oriented, proactive, and capable of handling multiple priorities while maintaining confidentiality.
Key Responsibilities
Provide administrative support to managers and team members.
Manage calendars, schedule meetings, and coordinate appointments.
Prepare, edit, and format correspondence, reports, presentations, and other business documents.
Answer phone calls, emails, and other inquiries professionally and promptly.
Maintain electronic and physical filing systems, ensuring accurate recordkeeping.
Coordinate travel arrangements, meeting logistics, and event planning as needed.
Process data entry, maintain databases, and update company records.
Assist with preparing invoices, expense reports, purchase orders, and other administrative documentation.
Monitor office supplies and coordinate procurement when necessary.
Support onboarding and administrative tasks related to new employees.
Assist with project coordination by tracking deadlines, organizing documentation, and following up on action items.
Ensure compliance with company policies, procedures, and confidentiality standards.
Collaborate with cross-functional teams to improve administrative processes.
Perform other administrative duties as assigned.
Required Qualifications
High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
2+ years of administrative, office support, or related experience.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Exceptional attention to detail and accuracy.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Strong problem-solving and critical-thinking skills.
Ability to work independently with minimal supervision.

Preferred Qualifications
Experience supporting multiple departments or executives.
Familiarity with project coordination and document management.
Experience in remote or hybrid work environments.
Knowledge of basic bookkeeping or accounting processes.
